Full Job Description

Performs a variety of secretarial and administrative duties for Chairs and faculty within the Biology and Chemistry departments. Serves as the first point of contact for the Department office, including greeting visitors and callers. Applies general knowledge of University procedures and in-depth knowledge of department practices and procedures in responding to inquiries and resolving issues. Provides general administrative support, including typing letters and other correspondence, scheduling department meetings, and distributing mail. Other responsibilities include reviewing department budgets with the Chair, maintaining department files and systems, maintaining department syllabi, inputting faculty assignments in Banner, and working with faculty and the Registrar’s Office in scheduling classes. The Departments currently has approximately 200+ Biology students, 10 Biology FT Faculty, 80+ Chemistry Students, 11 Chemistry FT Faculty, and 30+ Adjunct Faculty.
Position Duties

  • Answers telephone inquiries, maintains supervisor’s calendar, schedules appointments.
  • Types letters, memoranda, reports, may compose correspondence or check work for accuracy.
  • Acts as a representative for area/department, supplying information and requests for follow-up. The program coordinator serves essentially as a help desk to direct students to the appropriate forms, faculty, or to the Chair.
  • Works with Department Chairs and Budget Office to manage the budget for Dept which includes tracking expenditures via eProcurement, ChromeRiver, petty cash, and laboratory receipts.
  • Responsible for ordering of office supplies and all book ordering for courses.
  • Implements and maintains systems for dept. files, including computerized records.
  • Distribute departmental mail.
  • Schedule departmental meetings, seminars, etc.
  • Assist in collecting and organizing evaluations for Adjuncts and assist Chair with reports on FT Professors evaluations. Work with HR and Dyson Budget Office to handle the paperwork for adjunct hiring.
  • Maintain departmental syllabi for courses.
  • Maintain relevant files for departmental majors, faculty, and courses.
  • Work with faculty and the Registrar’s Office on assistance in scheduling classes (e.g., generating CRNs).
  • Provide assistance to students and visitors in navigating the science facilities.
  • Input faculty assignments into Banner as needed.
  • Performs other such duties as assigned from time to time.

Position Qualifications

  • Bachelors Degree preferred.
  • Four years of administrative experience strongly preferred.
  • General awareness required of budget preparation basics, plus related knowledge/experience in fiscal, HR, purchasing and/or record administration practices and procedures.
  • Knowledge of SCT Banner and Microsoft Office use required.

Work Hours Monday – Friday 9am-5pm.
