Job Description Summary

Copy Center Operator is responsible for all aspects of document production at West Pharmaceutical Services corporate headquarters including the operation, efficiency and timeliness of work. The incumbent is the primary point of contact for West Pharmaceutical Services’ employees and responsible for the deliverables. The Copy Center Operator must have excellent written and verbal communication skills, be able to function independently, be detail oriented, flexible, conscientious, and well organized; have the ability to work in a fast-paced environment with minimal supervision, possess professional demeanor, and have the ability to establish and maintain effective working relationships with co-workers, management, staff, vendors and suppliers.

SKILLS AND TRAINING:

The Copy Center Operator must have excellent written and verbal communication skills, be able to function independently, be detail oriented, flexible, conscientious, and well organized; have the ability to work in a fast-paced environment with minimal supervision, possess professional demeanor, and have the ability to establish and maintain effective working relationships with co-workers, management, staff, vendors and suppliers.

EDUCATION AND EXPERIENCE:
2-5 years of copy center experience

High school diploma or GED

Knowledge of copy center operations and workflow

Ability to operate copy center equipment

Maintain, troubleshoot and report maintenance issues to vendors and suppliers

Computer operation and typing skills

Knowledge of and experience with MicroSoft Office software programs and Adobe Acrobat Pro

General technical skills

Excellent communication skills

Valid U.S. driver’s license and reliable transportation

PHYSICAL REQUIREMENTS:
Ability to sit or stand for extensive lengths of time

Ability to utilize computer for extensive lengths of time (requiring finger dexterity and visual acuity)

Ability to utilize the telephone (requiring auditory and verbal senses)

Ability to lift up to 55 pounds

Regular and predictable attendance

DUTIES:
Typical duties: Perform and coordinate document center work. Responsible for preparing and processing all duplication documents using high-speed duplicating equipment. Duties involve the use of a personal computer to print and edit documents sent electronically via MicroSoft Outlook, enter job specifications, provide estimates, and monitor production costs. Provide general maintenance and operations support for all multi-functional devices (MFDs) in operation at West Pharmaceutical Services’ corporate headquarters facility.

Essential Functions:
Assist in troubleshooting problems as they arise with copiers, printers, etc., and contact Konica Minolta to schedule repairs.
Monitor inventory and order standard supplies for office supply cabinets in Copy Center.
Monitor inventory of paper supplies in Copy Rooms throughout the building, order and restock.
Monitor inventory of toner cartridges and waste toner cartridges for MFDs, order, receive and store supply of toner cartridges and change toner cartridges as needed.
Order, receive and deliver toner cartridges for HP desktop printers that are included in the Konica Minolta HP desktop printer maintenance contract.
Monitor conference room schedules and contact responsible party for information on their requirements for conference room set ups for HO West A and B.
Provide white boards, flip charts pads, markers, catering tables for meeting rooms as requested.
Record job specifications and production costs for in-house print jobs.
Prioritize and schedule print jobs, adjust production as required to accommodate customer deadlines and maintain operational efficiency, record job specifications and production costs.
Provide cost information and/or estimates and answer customer’s questions regarding all aspects of document preparation.
Inventory and order copy center supplies from vendors and suppliers.
Utilize copy center equipment (copier, binding machines, laminating machine) to provide high quality documents for customers.
Assist with ordering of supplies and parts requested by other members of the Facilities Management organization.
Assist with issuing of security badges and updating information in security system as needed.
Pickup and deliver mail to the post office morning, mid-day, late afternoon.
Schedule inspections and repairs for fleet vehicles.
Conference room set up – set up tables and/or chairs and other supplies in preparation for meetings in accordance with the requirements of the meeting host(s).

Other Responsibilities:
Run errands as required (i.e. post office, service station)
Perform other duties as related to position.
Assist co-workers in the Facilities Management organization as needed.
Serve as backup in the absence of Mailroom Clerk (see Mailroom Clerk job description).
Serve as backup in the absence of Shipping/Receiving Clerk (see job description).
