Office Assistant Physician Care
Full Job Description
Overview: The Office Assistant provides necessary clerical support services for Physicians Care, PC under the direction of the Office Manager by communicating professionally with visitors, clients, staff and physicians. Coordinates the flow of information to appropriate personnel, prepares assigned documents and performs detailed recordkeeping activities. The Office Assistant works with patients, physicians and staff to schedule patients, request and obtain medical records, verify insurance eligibility, collect patient balances, and complete prior authorizations for services. Responsibilities:
- Provide clerical assistance to Office Manager; use computer programs and software applications as assigned, completing all assignments by due date; occasionally assist management staff on utilization of the computer and software.
- Prepare correspondence, reports, and statements displaying thorough knowledge of English grammar, punctuation, and composition.
- Gather information for the preparation of reports on a timely basis to meet deadlines.
- Greet and handle all communication with visitors, clients, and staff tactfully, confidentially, professionally, and with courtesy; Uses appropriate resources (equipment, ideas, personnel) in providing individualized patient care/interaction.
- Communicate pertinent information to the appropriate individual. Act as coordinator of information between staff.
- Prepare, distribute and proof correspondence including, but not limited to letters, memos, and messages. Ensure detailed record-keeping and other paperwork.
- Maintain files in a systematic order and work area in neat and organized manner.
- Take and prepare meeting minutes, reports and statistics as assigned. Complete all assignments as requested in a timely manner; work on ongoing projects; report free time to supervisor; seek out work that needs to be completed.
- Order and Receive office supplies following the Purchasing policy of Physician Care, P.C.; verify correct items were received. Manage and utilize resources and supplies cost-effectively.
- Process incoming and outgoing mail.
- Schedule routine and non-routine appointments using scheduling software with consideration given to the client and staff schedules.
- Request and obtain past medical records for clients as assigned.
- Interact professionally with physicians and relay accurate and complete messages to appropriate personnel.
- Verify patient’s Insurance eligibility, collect co-pays and patient balances at time of service.
- Review patient reminder system each day and call patients that have not confirmed.
- Complete authorizations and referrals as needed.
- Communicate with satellite clinics/outside organizations regarding routine business and information exchange.
- Assess, revise, and develop office procedures and methods for approval.
- Prepare and make weekly or more frequent deposits for OH Services.
- Follows the chain of command appropriately to resolve problems and concerns.
- Understand hospital and departmental operations, organizational and political structure as well as policies and procedures. Apply to situations and communicate to others as needed.
Qualifications: High School Diploma or equivalent required. One or more years of clerical experience within a medical office setting preferred. PC/CRT data entry and customer service experience preferred.
