Full Job Description

Required Qualifications (as evidenced by an attached resume):
Bachelor’s degree (foreign equivalent or higher). Two (2) years of full-time research grant support experience in a professional office environment. Experience working with a diverse population. Experience with creating and managing complex budgets. Database management experience.

Preferred Qualifications:
Three years (3+) of full-time grant administration support experience in a professional office environment. Knowledge of electronic Research Administration software i.e. Huron Click, NIH ASSIST, Grants.gov or Proposal Central. Project management experience. Customer service experience. Knowledge of MS Teams/Zoom/Webex software.

Brief Description of Duties:
Provide administrative support in managing submission of proposals for the Health Science Schools including; The School of Dental Medicine, The School of Nursing, The School of Social Welfare and the School of Health Technology and Management; with latitude for the exercising of independent judgment. Train new faculty to use internal and external research portals.

Provide backup support for the Office of Scientific Affairs Outreach office and others in the Office of Clinical Awards Administration. Work with the Offices of the Vice President of Research: Office of Proposal Development, Office of Sponsored Programs, Office of Grant Management, and Office of Research Compliance, on behalf of the Researchers to make sure all proposals are submitted within the deadline set by the University. Interface with Department Administrations on an as needed basis.

The incumbent will be capable of serving in this visible and deadline driven position. They should be able to work independently, efficiently and effectively utilizing evident based problem-solving skills and should be a rigorous planner and provide direction within a team setting. The incumbent must have excellent communications skills, and be able to perform technical writing as required for the position. It is necessary that the successful incumbent have strong organizational skills.

The Grant Coordinator will have the ability to coordinate multiple projects simultaneously with common deadlines. Ability to complete deadline driven tasks and prioritizing is essential for the Grants Coordinator. This will require excellent organizational and time management skills. Excellent oral and written communication skills are also necessary.

  • Assist in the preparation and submission of new applications; including budget justification, budget preparation, and application formatting. Prepare annual progress reports for funded projects.
  • Serve as primary back-up coverage for the Grants Analyst during heavy deadlines. This entails having a strong understanding of Renaissance School of Medicine policies regarding cost-shared effort, core facilities and equipment and compliance review.
  • Pre-award grants activities – Assist faculty in identifying foundation, state, and federal grant award opportunities.
  • Assist in the development of budgets for new projects, including future staffing needs, capital purchases, etc. Make sure that faculty researchers are up to date on sponsor/funding agency and university policies.
  • Maintain database of grants submitted and sponsor outcomes
  • Attend Department Research meetings.
  • Other duties as assigned.

The Research Foundation of SUNY is a private educational corporation. Employment is subject to the Research Foundation policies and procedures, sponsor guidelines and the availability of funding. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
