Job Description
CoEnterprise is seeking a Billing Specialist to facilitate company growth. This role is responsible for all monthly invoicing for a growing number of clients and requires a self-disciplined, problem solver with excellent project management skills and a good eye for detail. The role requires a tech savvy professional to handle complex billing and payment processing as well as importing and exporting data and troubleshooting. The right individual should be open to learning, identifying continuous process improvements, be someone that understands the importance of client relationships and will be comfortable building relationships with our clients and employees using telephone and email.
Responsibilities include:

  • Prepares and submits complex invoices for T&M and Fixed Price contracts on a monthly basis:

  • Work with Project Managers to collect hours and milestones ready for invoicing,
  • Process invoices in Harvest (ERP) and QuickBooks.
  • Submit invoices on clients’ portals, or through other applications such as Ariba, Coupa.
  • Prepares and submits software license resell invoices:
  • Get ready-to-invoice quotes from Salesforce and create invoices in Quickbooks, via an upload process
  • Reconcile bill from vendors with quote from Salesforce
  • Prepares monthly recurring Support and SaaS invoices
  • Must be able to manage, update, create several Excel trackers
  • Processes/posts incoming checks using QuickBooks system; reviews customer accounts, confirms how payments are to be applied, and applies payments as appropriate.
  • Reconciles customer payments applying incoming payments to outstanding account balance.
  • Researches and resolves account payment discrepancies; make adjustments to accounts as needed.
  • Prints ledgers detailing opened accounts and accounts receivable activity.
  • Communicate with customers over the phone or by email about invoice questions regarding balance inquiries, discrepancies, and credit issues.
  • Communicates customer needs to other departments as appropriate.

Qualifications

Bachelor’s degree in Accounting

  • At least 2 years of billing/invoicing experience
  • Knowledge of accounting practices and accounts receivable reconciliation
  • Experience in accounting and/or customer service environment
  • Proficiency in Microsoft Excel
  • Strong data entry and keyboarding skills
  • High level of attention to detail
  • Provides excellent customer service when interacting with customers
  • Ability to effectively use a calculator and/or add machine
  • Good verbal and written communication skills
  • Ability to work independently and at a fast pace
  • Strong follow-up skills
